A CRM field is not a fact
A chatbot that reads any field in your CRM will repeat stale data to customers as a promise. Hive AI builds assistants that answer only from named, fresh sources, flag mismatches for your team, and keep a receipt.

An appliance repair shop in Broward County connects a chatbot to its job management system so customers can check on their repairs without calling. The bot reads the job record, finds the status field, and answers. Owners love it for a month. The phone rings less.
Then a customer asks on Tuesday afternoon whether her refrigerator part has come in. The bot reads the job, sees the status "Part received," and tells her the part is in and a technician can come out tomorrow morning.
The part is not in. A supplier shipped the wrong compressor on Monday, the office manager sent it back, and the job's status never changed, because nobody updates a field when a box goes back out the door. The customer takes the morning off work. Nobody shows up.
The chatbot didn't lie. It read a field and repeated it. That is the problem.
Hive AI builds chatbots, voice agents, and AI integrations for owners who want an assistant that answers from the facts your business actually keeps, says how fresh they are, and keeps a record of every answer.
Why a field looks like a fact
Your CRM, booking tool, or job system is full of values that look final: "Paid," "Scheduled," "Part received," "Complete." To a person in the office, each one is a starting point. They know the status is set by hand, that it lags by a day on busy weeks, and that "Complete" sometimes means "the tech left" rather than "the customer signed off."
A chatbot doesn't know any of that. Connect it to the system and every field becomes something it can say to a customer, with total confidence, at 9 p.m. on a Sunday.
Adding "double-check statuses before answering" to the prompt doesn't help. The bot has nothing to double-check against. A prompt is an instruction. It isn't a source.
What a governed answer looks like
When Hive AI connects an assistant to your systems, each customer question it may answer is tied to the fields allowed to answer it, and to how those fields get written:
- it answers order, part, and repair status only from fields your team named for that purpose, not from whatever is on the record
- each of those fields has an owner and a freshness limit: a status older than your limit gets a softer answer, not a promise
- anything that commits your time, like "a technician can come tomorrow," comes from your schedule, not from a status field
- payment and balance questions come from your billing system, never from a note or a copied value in the CRM
- when two systems disagree, the assistant says the answer is being confirmed and flags the record for a person
Everything outside those limits is denied by default. When the assistant can't answer from a trusted field, it tells the customer who will follow up and by when.
The same question, done right
Here's Tuesday with an assistant built that way. The customer asks about her part. The assistant checks the job, sees "Part received" was set eight days ago with a return logged since, and answers:
"Your repair is open and your part order is still being confirmed. I've asked our office to check on it, and someone will text you with an update by 5 p.m. today."
The office manager gets a flag: status and supplier return don't match on this job. She fixes the record in thirty seconds and texts the customer the real arrival date. Nobody takes a morning off for nothing.
Keep the receipt
Every answer the assistant gives, or holds back, should leave a record your office can read:
- the customer's question
- the fields it read, which system they came from, and when each was last updated
- the rule that decided which fields could answer
- whether it answered, softened, or escalated, and why
- any mismatch it found between systems
When a customer says "your chatbot told me the part was in," you open the receipt, see the stale field and the missing return check, fix it once, and every future answer follows the fix.
Why this matters before you buy
Most owners judge a customer-facing assistant by how naturally it talks. The risk sits in what it reads. An assistant wired to every field in your CRM will repeat your messiest data to your best customers, politely and instantly. The fix isn't hiding your systems from it. It's naming which facts it may speak from and how fresh they have to be.
Start with one workflow
Work with Hive AI starts with a five-day Bootcamp: one workflow, your real systems and fields, and a Friday recommendation with an evidence path. You leave knowing which questions your assistant may answer on its own, which fields it trusts for each, and what every answer looks like on your side.
